Turn review findings into Action Items

Action Items is a new page under Clients that transforms review findings into assigned tasks.

Findings are organized by patient rather than by assistant, ensuring that a patient with multiple reviews appears only once, with all outstanding issues consolidated in one place.

For each finding, your team can specify two key details:

  • Next Step: This field allows you to specify the required action, such as sending the task to a clinician, resolving it, marking it as needing clarification, or indicating that no action is necessary.
  • Assigned: Choose a provider from your EMR connection or a Circle user, or create a contact for someone who requires the work but doesn't have a Circle login.

Both the next step and assigned details persist across reruns. For instance, if you mark a finding as sent to a clinician on Monday, it will update when the review runs again on Friday, maintaining the ownership and workflow history.

This system eliminates the need for manual report creation. By filtering for findings that were sent to clinicians and now pass, you can track which documentation feedback was addressed and assess the speed of resolution.

Additionally, you can select findings across multiple patients and facilities, allowing you to update the entire group simultaneously.


Review only the documents you choose

New

Appeals and pre-payment reviews often concentrate on a specific date range rather than an entire treatment episode.

Now, you can open Uploads, filter by date, select the exact documents you want reviewed, and run the review against those documents alone. The result will show how many documents were included and what Circle read.

For an appeal, this means focusing the review on the days the payor questioned and pulling supporting evidence from the relevant records of that period.


Signature checks now verify against your EMR

Improved

Signature findings are now verified against structured signature data from your Electronic Medical Record (EMR) instead of solely relying on the content of the document.

EMR credentials are interpreted as roles, enabling a review to ascertain whether the individual who signed had the appropriate role to execute the action.

Furthermore, documents uploaded directly to Circle are now recognized as uploads and are no longer flagged for signatures that were never intended to be included.


Improvements

  • Faster Action Items. Ranked findings are displayed first, with additional details loading behind them. This makes exporting faster for longer lists.

  • Reviews show the chart snapshot they used. Each result records the frozen chart snapshot from the time of the run, so the displayed date range reflects what the review actually evaluated.

  • Per-question instructions now apply consistently. Guidance written for an individual question takes effect every time that question runs.


Fixes

  • Quotes that wrap across multiple lines now verify correctly.

  • Organization admins can now see uploaded patient documents.

  • Directly uploaded charts can now be reprocessed.
